Booking The Hall

For private hire (eg parties, wedding receptions), and business use:    
Check our Events calendar on our website to see what times are available, and then contact our Bookings Clerk via email or phone to check that your required slot is still available. 


Once the Bookings Clerk has checked that the slot is available, download the Hiring Agreement and Standard Conditions of Hire document from our website, fill it in and sign it, and send it to the Bookings Clerk for them to approve and countersign.  The Booking Clerk may need to discuss your booking and ask additional questions.  If it all looks ok, the Booking Clerk will countersign and return a copy of your agreement to you, and will send you the invoice.  Please note that we require full payment of the invoice up front (together with the refundable damages bond if applicable). The booking cannot be confirmed by the Clerk until they have received both the signed Hiring Agreement and full payment of the invoice from you.

If you are intending to run a licensed bar at your event, or have music after 11pm,  please discuss this first with the Bookings Clerk.  The hall is not licensed for the sale of alcohol, and we do not have a premises licence. We are limited to the number of Temporary Event Licences (TENS) available for the year.

(Paper copies of the Hiring Agreement and Conditions of Hire, and associated documents are also available from the entrance area of the hall).

Cancellations  - in the event of you having to cancel your booking,  we will operate a sliding scale for repayment:

  • If you give us at least a months notice we will give you a full refund

  • If you give us two weeks notice we will give you a 50% refund

For non profit making social groups:

Regular users can book a years sessions in advance, and need to pay either up front in full for the year, or in instalments by arrangement with the Booking Clerk.


For one off bookings, for badminton for example, we require full payment when you make the booking.

Public Liability Insurance – non commercial hirers who do not have their own public liability insurance can benefit from our Hirers public liability insurance cover.  A copy of this document is also published on our website.

We accept payments by bank transfer, cheque or cash.
 

Hourly charge rate for the Snooker Room is £8 per hour (Snooker Club members only).

Children’s Party Package  -  starts at £40 for a 4 hour slot (this time should include your setting up and clearing up time).  We will also require payment of a refundable damages bond of £50, refundable after the event is over, assuming there is no damage and the hall is left clean and tidy.  

Grownup Parties  -  hourly charge rate of £14 per hour for the main hall, plus we will also require payment of a refundable damages bond of £100, refundable after the event is over, assuming there is no damage and the hall is left clean and tidy.

Wedding reception rates - rates for hire of the whole building (excluding the Snooker Room) for an extended period over a weekend eg for a wedding reception, are negotiable – please contact the Booking Clerk to discuss.
  
When making a booking, remember to add in setting up and clearing up times for the beginning and end of your sessions - we suggest a minimum of 15 minutes before and 15 minutes after a session.  For setting up/clearing up before and after parties, these periods will need to be longer.

 
Cleaning the hall:
Kenninghall Village Hall operates on a self cleaning basis to ensure that the building is left clean for the next hirer who comes in. We therefore ask all hirers to ensure that as well as putting equipment away and tidying up, that you clean up after your session. In the case of the additional covid related cleaning, to undertake this before your session starts, and at the end of your session.  This includes wiping all surfaces likely to be touched/used during your session eg door handles, taps, chair backs and seats, tables, light switches, toilet handles, equipment etc.  Please read the Special Conditions of Hire during covid-19, and the Cleaning Responsibilities documents on the website.

 
Capacities for the hall:
Because of the ongoing covid-19 situation we have had to reduce the capacities of all the rooms in the hall, from the figures given in the Hiring Agreement.  Please refer to the figures given in the Special Conditions of Hire during covid-19 document.
